Where to find the export button
In the Planner View, navigate to the Gantt chart tab. Look for the Export to PDF button in the top-right corner of the screen (in the actions area). The button displays a download icon.
How to export your Gantt chart
- Open the Planner View and click the Gantt chart tab.
- (Optional) Adjust your view by:
- Selecting a date range using the date picker
- Changing the time scale (day, week, month, quarter, or year view)
- Applying grouping (by work order plan, asset, type, work package, or organization)
- Applying secondary grouping for multi-level organization
- Filtering tasks using the Filter panel
- Click the Export to PDF button.
- A notification will confirm the export has started. Your browser will download the PDF file automatically.
What's included in the PDF
The exported PDF contains:
- All visible tasks currently displayed in your Gantt chart
- Task hierarchy (parent-child relationships, group headers, and nested tasks)
- Current grouping structure (if you've applied primary and/or secondary grouping)
- Date timeline with headers matching your selected time scale
- Date labels on each task showing start and end dates
- Company name and generation date in the header
- A4 landscape orientation for optimal readability
Supported date ranges and time scales
The PDF export adapts to your current view:
- Time scales: Day, week, month, quarter, and year views are all supported
- Date range: Export the exact date range you're viewing in the Gantt chart
- Header granularity: When viewing very long date ranges (more than 60 time units), date headers automatically adjust to prevent oversized PDFs. For example, a yearly view with many years may show only month headers instead of daily details.
Limitations
- File format: Exports are PDF only; other formats (Excel, CSV, PNG) are not currently available for Gantt charts
- Offline access: Export requires an active internet connection
- Large timescales: Exporting very long date ranges (multiple years with daily detail) may produce large PDF files
- Dynamic data: The PDF reflects the data at the moment of export; it is not updated if underlying work order dates change
- Browser download: The PDF downloads to your browser's default download folder—you cannot choose a custom location during export
Troubleshooting
The export button doesn't appear
Ensure you are viewing the Gantt chart in the Planner View. The export button appears in the top-right corner. If you still don't see it, refresh the page and verify your browser supports PDF generation.
The export takes a long time
Exporting large Gantt charts with many tasks and complex grouping hierarchies may take several seconds. This is normal. Do not refresh the page or close the browser while the export is processing.
The PDF file doesn't download
Check your browser's download settings and ensure pop-ups and downloads are allowed. Verify that your download folder has available storage space. If the issue persists, try a different browser.
The PDF looks different from my Gantt chart
The PDF reflects the exact view you see in the Gantt chart at export time, including your selected time scale, grouping, and visible date range. If you want to export a different view, adjust the Gantt chart settings and export again.
Date headers are missing or unclear
When exporting very long date ranges, date headers simplify to avoid creating oversized PDFs. To capture finer date detail, narrow your date range and export again.
