Exporting Work Orders with Custom Field Selection
You can export your work order list to PDF or XLSX/CSV and choose exactly which fields to include in the file. This helps you create focused, clean reports without unnecessary columns.
Who Can Use This Feature
You need the Export Data permission to access the export options on the Work Order list. Contact your system administrator if the download button is not visible.
Where to Find It
Navigate to Work Orders in the main menu to open the Work Order list. The export option is available in the Download button in the toolbar at the top of the list.
How to Export with Selected Fields
Step 1 – Select Work Orders (Optional)
You can export all work orders in the current filtered view, or export a specific subset:

To export specific work orders, check the checkbox next to each work order you want to include before clicking Download.

To export all work orders in the current view, leave all checkboxes unchecked. The export will automatically include all work orders matching your active filters.
Note: The Download button is only enabled when at least one work order is selected, or when the list contains results.
Step 2 – Open the Download Menu
Click the Download button (📥) in the toolbar. A dropdown menu will appear with the following options:

Choose PDF or CSV to access the field selector. Choosing CSV (All Fields) will immediately queue an export with all fields and bypass the selector.
Step 3 – Select Fields to Include
A Select Export Fields dialog will open. It shows all available standard fields, as well as any active custom fields configured for your organisation.
In this dialog you can:

Check the fields you want to include in the export.

Uncheck fields you do not need.

Use Select All to quickly check every available field.

Use Deselect All to clear all optional fields at once.
⚠️ Required fields — Asset and Name are mandatory and cannot be removed from the export. They will appear pre-checked and greyed out.
Step 4 – Start the Export
Click Export to confirm your selection. The system will queue the export job in the background.

A notification will confirm that the export has started.

You will receive a download link or a notification when the file is ready. Check your Notifications or Exports area if you do not see it immediately.
Click Cancel to close the dialog without starting an export.

The following standard fields are available for selection. Custom fields created by your administrator will also appear in the list if they are active.

Note: Attachment-type custom fields are not available for export and will not appear in the list.
Limitations and Things to Know

Field order in the export matches the order in which fields are listed in the selector — you cannot drag to reorder fields at this time.

Attachment custom fields are excluded from all export types and do not appear in the field selector.

CSV (All Fields) always exports the complete set of fields regardless of your selector preferences and is useful when you need a full data dump.

Large exports may take a few minutes to generate. You will be notified when the file is ready.

Exports reflect the work orders in your current filtered view, so apply your filters before starting the export to make sure you are exporting the right data.
