Grouping and Roll-Up View for Plans in the Gantt Chart

Use grouping and roll-up view in the Gantt chart to organize work orders into clearer planning views. You can group work orders by plan, asset, work order type, work package, or organization. You can also add a second grouping level to roll related work orders into a single row, making it easier to review sequencing, workload, and plan structure at a glance.

This is useful when you want to:

  • Review a high-level work plan without losing the individual work order blocks.

  • Compare work across plans, assets, work order types, work packages, or organizations.

  • Reduce clutter in large Gantt charts.

  • Understand how work is distributed across a plan or campaign.

Where to find the feature

Go to the Planning Board and open the Gantt chart view.

The exact navigation path may vary depending on your Shoreline setup. If you do not see the Gantt chart, contact your customer admin or Shoreline support.

Group work orders in the Gantt chart

Use the Grouping field to organize work orders into sections.

  1. Open the Planning Board.

  2. Open the Gantt chart view.

  3. Find the Grouping dropdown above the chart.

  4. Select one of the available grouping options.

  5. The Gantt chart refreshes and displays work orders grouped by your selection.

Available grouping options include:

  • None

  • Work order plan

  • Asset

  • Work order type

  • Work package

  • Organization

When you select a grouping option, the chart shows group rows with the related work orders underneath them.

Add a secondary grouping level

Use Secondary grouping to create a two-level structure in the Gantt chart.

  1. Open the Gantt chart.

  2. Select a value in the Grouping dropdown.

  3. Find the Secondary grouping dropdown.

  4. Select a second grouping option.

  5. Review the updated chart.

The secondary grouping option is only available after you select a primary grouping.

For example, you can group work orders by:

Primary grouping Secondary grouping Result
Work order type Asset Work orders are grouped by type, then rolled up by asset.
Asset Work package Work orders are grouped by asset, then rolled up by work package.
Work order plan Work order type Work orders are grouped by plan, then rolled up by type.

You cannot use the same field for both primary and secondary grouping.

Use roll-up rows

When secondary grouping is active, the Gantt chart creates a roll-up row for each secondary group.

The roll-up row shows the individual work order bars together on one row. This helps you compare related work orders without scanning many separate rows.

In roll-up rows:

  • Individual work order bars are still visible.

  • Work order names may not appear inside the bars when space is limited.

  • You can hover over a work order bar to see more details.

  • Secondary group rows are visually separated from primary group rows.

  • Group rows are for organizing the chart and are not work orders themselves.

Change sorting and display options

The Gantt chart includes additional controls that affect how grouped work orders are displayed.

Sort work orders

Use the Sort dropdown to sort work orders by:

  • Start date

  • Name

  • Priority

Change the number of visible items

Use Items per page to choose how many work orders appear in the chart.

Available options may include:

  • 20

  • 40

  • 60

  • All

Change the visible bar type

Use Primary bar to choose whether the chart focuses on planned dates or actual dates.

Use Secondary bar to show an additional date reference, such as baseline or planned dates, or turn the secondary bar off.

Available options may vary depending on your company configuration.

Use compact rows

Use the row density control to switch to a more compact view. This can help when you are reviewing many work orders at once.

Zoom and date range

Use the Gantt chart controls to:

  • Zoom in

  • Zoom out

  • Fit the chart to the selected date range

  • Change the visible date range

Export the grouped Gantt chart

You can export the Gantt chart to PDF from the Gantt chart actions area.

  1. Set the grouping and secondary grouping options you want.

  2. Adjust the date range and zoom level.

  3. Select Export to PDF.

  4. Download the generated file.

The PDF keeps the grouped structure, including primary and secondary grouping rows where applicable.

Prerequisites

To use this feature:

  • You must have access to the Planning Board.

  • You must have access to the Gantt chart.

  • Work orders must be available in the selected date range and filters.

  • Grouping results depend on the data available on each work order.

Some actions in the Gantt chart may require additional permissions. For example, actions that update work orders, dependencies, or schedules may only be available to users with the correct work order permissions.

Limitations

  • Secondary grouping is only available when a primary grouping is selected.

  • The same field cannot be selected as both the primary and secondary grouping.

  • Work orders without a value for the selected grouping field are placed in an unassigned group, such as No plan, No asset, No type, No work package, or No organization.

  • Work orders must have relevant dates to appear as visible bars in date-based views.

  • If a work order bar is too short, the work order name may not display inside the bar. Hover over the bar to view details.

  • In draft views, some interactions are disabled. The chart may show a warning if you try to perform an action that is not available while viewing a draft.

  • Some display options may depend on your company configuration.

Troubleshooting

I do not see the Secondary grouping field

Select a value in the Grouping dropdown first. Secondary grouping is hidden when grouping is set to None.

I cannot select the same value for primary and secondary grouping

This is expected. The secondary grouping list excludes the value already selected as the primary grouping.

Some work orders appear under “No plan” or another “No…” group

Those work orders do not have a value for the selected grouping field. Update the work order details if they should belong to a specific plan, asset, type, work package, or organization.

I cannot see a work order in the Gantt chart

Check the following:

  • The work order matches the current filters.

  • The work order falls within the selected date range.

  • The selected primary or secondary bar setting has the dates needed to display the work order.

  • The current page size is not hiding the work order on another page.

The work order name is missing from the bar

The bar may be too short to show the full name. Hover over the bar to view the work order details, or zoom in to create more space.

I cannot drag, schedule, or update work orders in the chart

You may be viewing a draft, or you may not have the required permissions. Contact your customer admin if you need access to scheduling or work order update actions.

The grouped view looks too dense

Try one or more of the following:

  • Use a secondary grouping to roll related work orders into fewer rows.

  • Change the row density.

  • Filter the Gantt chart.

  • Reduce the visible date range.

  • Sort by start date, name, or priority.
