Work package sharing and access control

Understand the new work package level sharing model and how it simplifies permissions, improves collaboration, and ensures secure access to project information.

Sharing and visibility

Work packages now provide a more controlled and consistent approach to information sharing. Instead of managing access separately for each object, such as Activities or Work Orders, permissions are now handled directly at the Work package level.

By default, all information linked to a Work package is private. Only users who are included in the Work package sharing list can view the Work package and its related content. Users who are not on the sharing list will not see the Work package or any associated items, even if they have access to the wider project.

This approach simplifies access management and ensures that relevant data is consistently shared with the right people. It removes the need for repetitive permission settings, reduces the risk of errors, and makes collaboration easier. It also ensures that everyone working within a shared Work package has access to the same information, supporting more efficient workflows and better coordination across modules.

Adding users to a work package sharing list

To give team members access to a Work Package and any linked content, they need to be added to its sharing list. Once added, they will automatically see the Work Package and all related activities, work orders, and other data associated with it.

How to add users:

  1. Open the relevant Work package from the Work package page.

  2. Click on Sharing in the Work package sidebar.

  3. Select Add all users to add everyone within the account to the Work package.

  4. Alternatively,  you can search for and select the users you want to give access to.

  5. Click Save to apply the changes.

Quirks and things to know

  • Private means invisible: If a user is not on the Work package sharing list, they will not see the Work package or any of its linked activities or work orders, even if they have project access.

  • Access applies to everything inside: Once a user is added, they can see all linked items. Access cannot currently be restricted to only part of a Work package.

  • Instant updates: Adding or removing users updates their visibility immediately. There’s no need to refresh or reconfigure permissions.

  • “Add all users” is powerful: This option is handy but should be used carefully, especially if the Work package contains sensitive or project-specific data.

  • Visibility issues are often permission issues: If someone says they “can’t find” an activity or work order, it’s almost always because they’re not part of the Work package sharing list.
