Restore or permanently delete work orders

Deleting a work order now moves it to the Deleted Work Orders archive instead of removing it immediately. This makes it possible to recover a work order that was deleted accidentally.


Before you start

Access to deleted work orders is controlled by three permissions:

Open and search the Deleted Work Orders page

Restore deleted work orders

Return a deleted work order to the active work order list

Permanent delete work order

Irreversibly remove a deleted work order and its associated attachments

Note: Ask your account administrator to update your permissions if you cannot see the archive or one of its actions.


Open the Deleted Work Orders archive

  1. Go to Work orders.
  2. Open Deleted Work Orders.

The archive shows information including the work order name, external ID, site, asset, type, priority, deletion date, and the person who deleted it.

You can:

  • Search by work order name or external ID.
  • Sort the list.
  • Move between pages or change the number of results shown per page.

Restore a work order

  1. Go to Work orders > Deleted Work Orders.
  2. Find the work order you want to recover.
  3. Open its row actions and select Restore.
  4. Confirm the restoration.

The work order is returned to the active work order list with its original details.

Restoration warnings

A work order can refer to records such as a site, asset, component, task, work package, or organization. Some of those records may have been removed after the work order was deleted.

When that happens, the restoration can still complete, but a warning identifies the affected links. References that are no longer available may be removed from the restored work order.

Duplicate IDs

A work order cannot be restored when an active work order already uses:

  • The same work order ID.
  • The same external work order ID.

The restoration is stopped and an error explains the conflict. Resolve the duplicate before trying again.


Permanently delete a work order

Permanent deletion removes the archived work order and its associated file attachments. It cannot be undone.

  1. Go to Work orders > Deleted Work Orders.
  2. Find the work order you want to remove.
  3. Open its row actions and select Permanent delete.
  4. Review the warning and confirm the action.

Warning: Only permanently delete a work order when you are certain that it will not need to be restored.
