Set up and manage site inductions
Control who is allowed on a site by requiring a site induction. When a site requires induction, personnel must be approved by a nominated approver before they gain access, and you can track every request through its full lifecycle.
Before you start
- Site induction is configured per site, on the Site Inductions tab of the site.
- Each site that requires induction needs at least one approver. Without an active approver, requests cannot be reviewed.
- Approvers need site access themselves to review requests.
Turn on induction for a site
- Open the site and go to the Site Inductions tab.
- Enable This site requires site induction.
- In the Approvers field, select one or more approvers. At least one approver is required to invite personnel to this site.
- (Optional) Add Induction criteria to tell personnel what is expected before they can be approved. Enter the details in the description field.
- Save. You will see the confirmation Induction settings saved.
Note: If a site has no active induction approver, requests cannot be reviewed and you will see the warning: "This site has no active induction approver, so requests can't be reviewed. Assign an approver with site access."
Send induction requests for personnel
You can add personnel to a site induction individually or in bulk.
- On the Site Inductions tab, open the personnel picker.
- Narrow the list using the filters:
- Filter per skill
- Filter per work package
- Search personnel
- Select the personnel you want to add.
- Click Add {count} personnel (the button shows the number selected).
Each selected person moves into Induction requests with the status Pending approval, and the confirmation Induction request sent and awaiting for approval appears.
Tip: Personnel can also raise their own request from a site using the Site induction request button.
Review induction requests
Approvers review each request from the Induction requests list. Every request can be actioned with:
|
Action |
What it does |
|---|---|
|
Approve |
Grants the person induction authorisation for the site. |
|
Reject |
Declines the request. A reason is required (see below). |
|
Resend request |
Sends the induction request again. |
|
Remove |
Removes the request from the list without affecting the person's profile. |
|
Revoke access |
Removes induction authorisation from a person who was previously approved. |
Reject a request
- Click Reject on the request.
- In the Reject induction request dialog, enter a reason. "Provide a reason for rejecting this request. This will be shared with the person who submitted it."
- Click Confirm rejection.
Revoke access
- Click Revoke access on an approved person.
- In the Revoke site access dialog, confirm the action. Their induction authorisation is removed and they are notified by email.
- Click Revoke access to confirm.
Remove a request
- Click Remove on the request.
- In the Remove request dialog, confirm. "Remove the induction request for [name] at [site] from this list? Their personnel profile is not affected."
- Click Remove request.
Induction statuses
Each request shows one of the following statuses:
|
Status |
Meaning |
|---|---|
|
Pending approval |
The request has been sent and is awaiting an approver. |
|
Approved |
The person is inducted and has access to the site. |
|

The request was declined. The rejection reason is shared with the submitter. |
|
Access revoked |
A previously approved person has had their access removed. |
Notifications
Personnel and approvers receive in-app and email notifications when an induction status changes, for example when a request is sent, approved, rejected, or when access is revoked.
