Skills on personnel

Every person in the system has a personnel profile that can also store the skills they hold. Skills act as a control on which work a person can carry out — work orders, asset entry, and logistics options can each require specific skills.


Where to find it

Open a person's profile and go to the Skills & Certificates tab. The tab has two sections:

  • Skills — the individual skills the person holds, each shown with its validity dates, status, source, and any attached certificate.
  • Competencies — the competencies the person meets, based on the skills they hold.

Note: In v2.8.0 the concept previously called "skill groups" was renamed to Competencies. A separate Skill groups dimension now also exists as a way to tag individual skills. See Manage skills, skill groups and competencies.


Add skills to a person

Skills are added with the Add skills picker, which is built for large skill libraries.

  1. Open the person's profile and go to the Skills & Certificates tab.
  2. In the Skills section, click Add skills.
  3. Use the Search box to match on name or WINDA skill code, and narrow further with the Skill groups and Competencies filters.
  4. Select skills individually, use Select page to take everything on the current page, or use Select all to take every skill that matches your current filters. Your selection is kept as you move between pages.
  5. Click Add.

Note: Add skills is available only for a person who has already been saved. Skills already assigned to the person appear disabled in the picker and cannot be selected again. After adding, a message confirms how many skills were added and how many were skipped because they were already assigned.


Attach a certificate to a skill

You can attach a certificate that validates a skill.

  1. In the Skills section, find the skill in the table.
  2. In the Certificate column, click Upload file and choose the file. You can upload PDF or JPG files.
  3. Once the upload succeeds, the file is shown as a link — click it to download the certificate. Use the remove button next to the link to delete an attached certificate.

Note: Set the skill's Valid from and Valid to dates in the table so the skill's status stays accurate. Certificates do not synchronise from WINDA — use Upload file to add them.


How skills are organised

Each skill can be tagged with one or more Skill groups and one or more Competencies. Those two dimensions are what the picker's filters and the personnel-list filters work on, so keeping them up to date on your skills makes people easier to find. Skill groups and competencies are managed under Settings > Personnel > Skill groups & competencies.
