How to Create Timesheets
Overview
Timesheets in the Shoreline Execution Platform allow you to collect and organize time entries for personnel work performed across work packages. Once created, timesheets can be submitted for approval to supervisors or managers.
Prerequisites
Before creating a timesheet, ensure you have:
- Permission to create work orders (
create Workorderpermission) - Access to time entries (either your own or from personnel you manage)
- An active internet connection (required for submitting timesheets for approval)
Step-by-Step Guide
Step 1: Access the Timesheet Creation Interface
- Navigate to the Timesheets section in the application
- Click the button to create a new timesheet
Step 2: Name Your Timesheet
- In the Name field, enter a descriptive name for your timesheet
- This name will help you identify the timesheet later
- Example: "Week 3 - January 2026" or "Maintenance Team - Site A"
Step 3: Filter and Find Time Entries
Use the filtering options to find relevant time entries to include:
Available Filters:
- Date Range: Select start and end dates to filter time entries within a specific period
- Work Packages: Choose specific work packages to include time entries from
- Personnel: Select which team members' time entries to include
- If you have the appropriate permissions, you can select "All" users
- Otherwise, you'll see only users you have permission to register time for
Step 4: Add Time Entries to Your Timesheet
From the "More Registered Time" section:
- Review the filtered time entries displayed in the table
- You can add time entries in two ways:
- Individual entries: Click the add button next to each time entry
- Bulk add: Select multiple checkboxes and use the bulk add function
Time Entry Information Displayed:
- Activity External ID
- Activity Category
- Associated Asset(s)
- Work Order
- Start Date & Time
- End Date & Time
- Duration (in hours and minutes)
- Personnel Name
- Registered By
- Work Package
- Internal Remarks
Step 5: Review Selected Time Entries
In the "Timesheet" section:
- Review all time entries you've added
- The system automatically calculates:
- Total Time: Sum of all time entry durations
- Personnel Count: Number of unique personnel included
Editing Time Entries (if needed):
- You can edit certain details of time entries before saving
Removing Time Entries:
- Click the remove button to remove individual entries
- Use bulk remove to delete multiple entries at once
Step 6: Save Your Timesheet
You have two options:
Option A: Save as Draft
- Click the Save button
- The timesheet will be saved with status
DRAFT - You can edit it again later
Option B: Save and Send for Approval
- Click the Send button
- Select the users who should approve the timesheet
- The system will:
- Save the timesheet
- Change its status to
PENDING - Send notifications to the selected approvers
Note: You must be online to send a timesheet for approval. The Send button will be disabled when offline.
Timesheet States
Your timesheet will progress through these states:

| DRAFT | Timesheet is saved but not submitted |
| LOCKED | Timesheet is locked for editing |
| PENDING | Timesheet is awaiting approval |
| SIGNED | Timesheet has been approved |
| REJECTED | Timesheet was rejected by approver |
