Use the Work Order Progress dashboard

The Work Order Progress dashboard gives you an overview of work order completion across assets, work order types, work plans, and work packages.

Use the dashboard to review progress, identify work that is in progress or pending approval, and quickly update work order progress from one place.

Open the Work Order Progress dashboard

To open the dashboard:

  1. Go to Dashboard.

  2. Select Work order progress.

The dashboard is available only when the Work Order Progress dashboard feature is enabled for your organization.

You must also have permission to view work orders.

Understand the progress overview

At the top of the dashboard, you can see a summary of work order progress.

The overview includes:

Progress indicator Description
Completion rate Shows how many work orders are completed, including the percentage of total work orders.
In progress Shows how many work orders are currently in progress, including the percentage of total work orders.
Pending approval Shows how many work orders are waiting for approval, including the percentage of total work orders.

Use these indicators to quickly understand the overall status of the selected work orders.

Change the dashboard view

You can change how work order progress is displayed in the grid.

The dashboard supports two views:

View Description
Rows view Shows assets as rows and work order types as columns. Use this view to review progress asset by asset.
Columns view Shows work order types as rows and assets as columns. Use this view to compare progress across assets for each work order type.

Depending on the selected view, the grid layout changes, but the same work order progress data is used.

Use the progress grid

The main grid shows work order progress for each asset and work order type combination.

Each cell may show:

  • A progress percentage

  • A visual progress bar

  • A date, depending on your selected display settings

  • A lock icon, if the work order cannot be edited

  • A dash, if there is no matching work order data

Cells that contain work orders can be opened. Empty cells cannot be opened.

Add supporting data to the grid

You can add supporting data to the grid to get more context about each work order.

Available supporting data includes:

  • Priority

  • Planning status

  • Completed hours

  • Remaining hours

  • Registered hours

  • Start date

  • End date

Use supporting data to review more than progress percentage directly from the dashboard.

Filter the dashboard

Use filters to narrow down the dashboard data.

You can filter by:

  • Period

  • Work order status

  • Work order type

  • Work plan

  • Work package

To remove all active filters, select Clear all in the filter panel.

When you change filters, the dashboard updates to show work orders that match your selected criteria.

Search the dashboard

Use the search field to find relevant work order progress data.

Search works together with your selected filters and sorting. If you cannot find the data you expect, clear the search field or remove active filters.

Sort the dashboard

Use the dashboard settings to change the sorting.

You can sort the dashboard by asset-related or work-order-related fields, depending on the selected view and available data.

When you change sorting, the dashboard reloads with the new sort order.

Update work orders from the dashboard

Users with permission to update work orders can update work order details directly from the dashboard.

To update a work order:

  1. Click a populated cell in the progress grid.

  2. If the cell contains multiple work orders, select the work order you want to update.

  3. Update the available fields.

  4. Select Save.

Depending on your permissions and the work order status, you may be able to update:

  • Progress percentage

  • Priority

  • Planning status

  • Start date

  • End date

Where available, you can also select Close work order when saving.

Open a work order from the dashboard

To open the full work order:

  1. Click a populated cell in the progress grid.

  2. If the cell contains multiple work orders, select the work order you want to open.

  3. Select Open work order.

The work order opens in the work order modal.

Work orders pending approval

If a work order is pending approval, the dashboard shows this in the quick update panel.

The panel may also show who the approval request was sent to.

Work orders pending approval may have limited editing options, depending on your permissions and approval configuration.

Locked work orders

Some work orders may be locked.

Locked work orders are marked with a lock icon. When a work order is locked, the quick update fields are disabled.

You can still review the work order information, but you cannot update the locked fields from the dashboard.

Change pages and page size

If the dashboard contains many assets, the grid is divided into pages.

At the bottom of the grid, you can:

  • See which assets are currently shown

  • Change the number of assets shown per page

  • Move to the previous or next page

Available page sizes are:

  • 10

  • 25

  • 50

  • 100

Empty, loading, and error states

The dashboard may show different messages depending on the current state.

State Description
Loading The dashboard is loading data.
Error Something went wrong while loading the dashboard. Select Retry to try again.
Empty No assets or work orders match the current filters, search, or selected period.

Prerequisites and limitations

Before using the Work Order Progress dashboard, make sure that:

  • The Work Order Progress dashboard feature is enabled for your organization.

  • You have permission to view work orders.

  • Work orders exist for the assets, work order types, work plans, or work packages you want to review.

  • You are online.

Keep the following limitations in mind:

  • You need permission to update work orders before you can make changes from the dashboard.

  • Locked work orders cannot be edited from the dashboard.

  • Empty cells cannot be opened or updated.

  • The dashboard is not available offline.

  • Some work orders may have limited editing options because of approval status, lock status, or user permissions.

Troubleshooting

I cannot see the Work Order Progress dashboard

The feature may not be enabled for your organization, or you may not have permission to view work orders.

Contact your administrator if you expect to have access.

I cannot click a grid cell

Only cells that contain work orders can be opened. Empty cells cannot be clicked.

I can open a work order, but I cannot update it

You may not have permission to update work orders, or the work order may be locked.

Some work orders may also have limited editing options because they are pending approval.

I cannot find the work orders I expect

Check whether any filters or search terms are active.

To broaden the results:

  1. Clear the search field.

  2. Open the filter panel.

  3. Select Clear all.

  4. Adjust the selected period if needed.

The dashboard shows no results

No work orders may match the current filters, search, or selected period.

Clear filters or select a wider period to show more results.
