Work offline on work orders, checklists, and defects

Turn on offline functionality to keep viewing and updating your recently used work orders, checklists, and defects even if your internet connection drops.

Before you start

This is a per-user setting — each person on your team who wants offline access needs to turn it on themselves.
This feature is being rolled out gradually, so Enable offline functionality may not appear in your account yet.
Offline access only covers work orders, checklists, and defects (and the reference data they depend on, such as sites, assets, and teams) — other modules are not available offline.

Turn on offline functionality

Open your user menu and select User Settings.
Go to the Offline functionality section.
Tick Enable offline functionality.

Note: The setting explains it clearly: "Turning on offline functionality means you will have limited access to the system in case you lose your connection. If turned off, you will have no functionality in case you lose connection."

Once this is turned on, Shoreline automatically keeps a local copy of the work orders, checklists, and defects you view, so they're available if you lose your connection.

What happens when you lose connection

If you have not enabled offline functionality, you'll see a full-screen Offline message with the note "Connection lost, trying to reconnect." until your connection returns.
If you have enabled offline functionality, you'll see a brief notification: "You are currently offline. Some functionality has been disabled." The wifi icon in the top navigation bar switches to show you're offline, and you can keep working.

Work orders

Work order lists and details load from your local copy.
You can still edit the fields that are normally editable — your changes are queued and sent once you're back online.
Locking, approving, rejecting, exporting, bulk actions, and timesheet entry are not available offline.

Checklists

Checklists you've recently opened are available to view and edit offline.
Checklists you haven't opened recently aren't cached, so their Edit option is disabled until you're back online.
You can start a new checklist while offline — it's created once you reconnect.
Deleting a checklist requires an internet connection.

Note: The checklist tab inside the classic Work Order window is hidden while you're offline.

Defects

Defect lists and details load from your local copy.
Editing and deleting an existing defect both require an internet connection.
Creating a new defect, or updating one you already have open, works offline and syncs once you reconnect — but adding file attachments to a defect does not.

Note: The Defects tab inside the classic Work Order window shows "Defects for work orders are not available offline" — that view is read-only until you reconnect, even though the standalone Defects module supports offline editing.

Syncing your changes

As soon as your connection returns, Shoreline sends any changes you made offline automatically, in the order you made them. While this happens:

The top navigation shows a Synchronising status.
You'll see "Synchronising changes made while offline" while it's in progress.
Once it finishes, you'll see "Data synchronised successfully."

Note: If a sync fails, you'll see "Error synchronising your data. Parts of the system may be unavailable." with an option to retry.

Manage your offline data

Click the wifi icon in the top navigation bar to open Manage offline. From here you can see when your local data was last updated and click Update to refresh it manually while you're online — useful just before heading somewhere with a poor connection.

Limitations

Note: Offline access is designed for short gaps in connectivity, not full days of work with no internet.

Only your 100 most recently viewed items per module are kept locally, and anything older than 24 hours is automatically cleared.
File attachments cannot be added while offline.
Administrative actions — deleting, approving, rejecting, locking, exporting, and bulk actions — all require an internet connection.
